Report governance across branches

How Large and Multi-Campus Schools Can Standardise Report Card Generation

A school group is three days away from publishing term results. One campus uses Class and Section, another uses Grade and Division, and a third has changed its report-card footer locally. The marks are ready, but the final documents no longer look like they belong to the same institution.

At large volumes, a late logo, subject-label or filename correction can affect thousands of files. The challenge is not merely generating report cards in bulk; it is controlling the approved template, data contract and review process across branches.

A bulk report card generator can produce documents from prepared branch-wise or class-wise files. It does not centralise campuses, sync with an ERP, merge databases or verify academic data. The institution must provide the final Excel or CSV input.

Consistent filenames and controlled batches make large output folders easier to review and distribute.

Standardised school report cards begin with shared rules

Multi-campus inconsistency usually starts with small local decisions: Mathematics becomes Maths, admission numbers use different formats, grades contain spaces, or one branch types the term name differently. A shared visual template cannot solve those data differences by itself.

The central team should define a report-card data contract: required headings, accepted display formats, branch identifiers, subject labels and filename fields. Each campus then submits a verified file that follows this contract. This is a governance process carried out by the school group, not an automatic DataToPDF feature.

Where curricula or grade levels genuinely require different layouts, maintain separately approved templates and process the corresponding lists separately. Do not rely on conditional template selection unless the product explicitly supports it.

Prepare the final spreadsheet first

Use one row per student. Column names can follow the institution's terminology, but every value should already be calculated, written and approved before upload.

ColumnWhat it should contain
campus_codeApproved branch identifier.
student_nameVerified register spelling.
student_idOrganisation-wide or branch-controlled identifier.
classStandard display label.
sectionApproved section format.
termConsistent reporting-period name.
subject_1_scoreFinal verified subject result.
percentageAlready calculated according to policy.
gradeApproved grade value.
teacher_remarkFinal authorised remark.
filename_keyUnique prepared value for output naming.

Match columns with template variables

Put matching variables in the reusable Word or Excel report template. For example:

{{campus_code}}{{student_name}}{{student_id}}{{class}}{{term}}{{percentage}}{{grade}}{{teacher_remark}}

A variable only places the prepared spreadsheet value. It does not calculate the value or decide what should be written.

A practical generation workflow

  1. 1.Approve the data contract

Publish required headings, formats and ownership rules before branches prepare result files.

  2. 2.Approve template versions

Name and control each template version. Use separate templates where curricula or layouts genuinely differ.

  3. 3.Receive verified campus files

Each branch calculates and signs off marks, percentages, grades, attendance and remarks before submission.

  4. 4.Validate structure

Check headings, missing fields, duplicate IDs and campus codes. Resolve exceptions with the originating branch.

  5. 5.Run representative previews

Test records from different campuses, classes, long names, result statuses and longer remarks.

  6. 6.Generate controlled batches

Process branch-wise or class-wise files, inspect filenames and samples, then download and distribute through approved institutional channels.

Example: four campuses and 3,200 report cards

A fictional school group has four campuses following the same curriculum. For this organisation, report card generation for multiple schools begins with one shared workbook specification and one approved report template. Each principal submits a signed-off class file using the required headings.

The central team checks row counts and identifiers, then previews representative records from every campus. It generates separate controlled batches so corrections can be traced to the source campus rather than mixing all students into one unmanaged run.

DataToPDF helps produce consistently formatted PDFs. The school group still owns data consolidation, branch coordination, academic validation, approvals and distribution.

Common mistakes to prevent

Letting branches rename columns

Small heading changes break variable matching and should be resolved before upload.

Using one template for incompatible curricula

Use separately approved templates and lists where subjects or layouts differ.

Treating the tool as a branch database

DataToPDF does not synchronise or centrally manage campuses.

Generating before central sign-off

Large batches amplify source errors. Require branch and central review.

Weak version control

Record which template and data file produced each batch.

Mixing all corrections together

Prepare controlled correction files linked to the relevant campus and batch.

What DataToPDF does—and does not do

DataToPDF does not calculate marks, percentages, grades, ranks or attendance, and it does not write teacher remarks. Those values must be prepared and verified before upload.

Schools calculate and verify every academic value before upload.

DataToPDF does not merge branch systems, collect marks or sync with an ERP.

It does not manage template approval, branch permissions or academic policy.

It generates personalised PDFs from prepared Excel or CSV data and Word or Excel templates.

The institution controls batching, checking, distribution and correction records.

When this workflow is suitable

A good fit

Branches can provide standardised final files.

Approved templates are centrally controlled.

The organisation needs consistent separate PDFs.

A review and batch-governance process exists.

Choose another system when

Live ERP integration or campus synchronisation is required.

Marks must be collected and calculated centrally by the tool.

Conditional curricula need automatic template selection.

Parents require a portal or automatic delivery.

Frequently asked questions

Does DataToPDF connect multiple campuses?

No. The institution prepares and uploads the required branch-wise or class-wise Excel or CSV files.

Can different campuses use the same template?

Yes when their approved fields and layout are compatible. Otherwise use separate controlled templates and lists.

Does it combine ERP exports automatically?

No. Staff must export, standardise and verify supported files before upload.

Can campus codes be used in filenames?

Prepared student-specific or branch-specific fields can support clearer filenames. Review the final pattern for uniqueness.

Who verifies report-card accuracy?

The school and its authorised academic staff. DataToPDF places supplied values into the template but does not verify them.
