A practical Windows workflow for recurring document batches
Meet DataToPDF Desktop: Generate Thousands of PDFs Faster, Without Uploading Your Files
A school has 3,000 report cards to prepare before results day. An HR team needs 1,000 salary slips for the monthly payroll handoff. An association has approved 5,000 certificate records and must produce one correctly named file for every recipient. The design may already be finished, yet the team still faces hours of opening a template, copying values, exporting a PDF and repeating the process.
That repetition is where errors enter. A name can be pasted into the wrong document, an old salary can survive in a copied file, or an output can be saved under an unclear filename. The useful alternative is not to remove human review. It is to prepare one checked spreadsheet, connect its columns to one approved template, and let a bulk PDF generator for Windows create the separate files consistently.
DataToPDF Desktop is built for that operational job. It turns prepared XLSX or CSV rows into personalised PDFs using a DOCX or XLSX template, while keeping the document-generation workflow on the Windows computer.
One reviewed row, one output
Generate a complete PDF batch from Excel or CSV
Start with a table that has one record per row. A school file might contain columns such as name, roll_no,class and marks. Payroll data might useemployee_name, employee_id, monthand salary. The values must be prepared and verified by the organisation before generation.
Next, use your own Word or Excel template with variables such as {{name}}, {{roll_no}} and {{salary}}. The app inspects the template and compares its variables with the data columns, helping you spot matched and missing fields before the full run. You can preview the first record, choose an output folder and then generate a separate PDF for each row.
Filenames are part of the workflow rather than an afterthought. DataToPDF Desktop lets you choose one or more spreadsheet columns and order them as filename fields. For example,Student Name + Roll No can produce a recognisable filename for each student. Values are sanitised for Windows, and an existing file with the same name is not silently overwritten.
- 1
Select the prepared XLSX or CSV data file and worksheet when needed.
- 2
Select the organisation's approved DOCX or XLSX template.
- 3
Review matched variables and preview a representative record.
- 4
Choose filename fields, an output folder and generate the batch.
A clearer document boundary
Your document contents stay on your computer
In the inspected desktop release, the app reads the selected spreadsheet and template locally. It creates working documents on the computer and saves the finished PDFs in the folder you choose. During desktop generation, the Excel or CSV contents, template contents, document filenames and generated PDFs are not sent to DataToPDF's generation server.
This can matter when the batch contains student names and marks, employee salaries, customer invoice details, internal business records or institutional certificates. Secure local PDF generation reduces the need to transfer that document payload to an online converter. The organisation must still protect the Windows account, temporary files, backups and output folders, and distribute the PDFs through an approved channel.
Your document contents are processed locally; account and credit-related services may still communicate online.
Supabase handles authentication. Device registration and credit accounting send account, device and usage information such as device identifiers, job identifiers, PDF counts, status and timestamps. Limited offline generation requires a previous online sign-in, registered device and synced signed balance, followed by later reconciliation. For the complete distinction, read the desktop versus online PDF privacy guide and the Privacy Policy.
Efficiency without invented promises
Why local batch generation can reduce the work
A desktop bulk PDF generator removes the repeated copy, paste, rename and export cycle. It also removes the document upload and completed-ZIP download steps from the generation path. Each finished PDF goes directly into the selected local folder, ready for the organisation's review and delivery process.
Local does not automatically mean faster in every situation. Performance depends on processor and memory capacity, storage speed, available disk space, antivirus activity, image sizes, page count, template complexity and the number of records. A simple one-page certificate and an image-heavy multi-page report are not equivalent jobs.
Test a representative group before a very large run. Include long names, empty optional fields, images and multi-page cases; then confirm the number of created files and inspect the output. The existing Desktop versus Web speed comparison explains how to compare the complete workflow without relying on an unsupported PDFs-per-minute claim.
One workflow, several teams
Use the templates your organisation already approves
DataToPDF Desktop is bulk document generation software, not a system that calculates marks, runs payroll, approves invoices or decides who deserves a certificate. Your team supplies the reviewed values and its own approved Word or Excel design. The app handles the repetitive personalisation and PDF output step.
Schools
Report cards, admit cards, certificates and fee receipts from school-approved data.
Coaching institutes
Test scorecards, progress summaries and recurring student documents.
HR departments
Salary slips, appointment letters, employee letters and internal certificates.
Businesses
Invoices, customer documents and other repeated personalised communications.
Event organisers
Participation certificates, invitations and approved attendee documents.

Choose Desktop for recurring local batches
- The organisation uses a managed Windows x64 computer.
- Document contents should remain in the local generation workflow.
- Large or repeated batches should save directly to an operating folder.
- The team can install software and manage local output responsibly.
Choose Web for browser convenience
- The job is occasional and installation is not practical.
- Users need access from different supported computers.
- A completed ZIP in the account downloads area suits the handoff.
- The organisation permits hosted processing of the prepared files.
Both versions use DataToPDF credits. Review current credit pricing and the spreadsheet-to-template workflow before standardising a process.
Getting started
From installation to a reviewed PDF batch
- 1
Download DataToPDF Desktop for Windows and verify the published filename and checksum.
- 2
Run the installer and complete the Windows setup.
- 3
Sign in with a DataToPDF account and register the device online.
- 4
Select the prepared data file and your approved template.
- 5
Choose the output location and one or more filename fields.
- 6
Preview a representative record, generate the batch and review the finished PDFs.
Online authentication and credit services are required. If a valid balance has previously been synced, limited offline use may be available, but recharge, refresh, password reset and later usage reconciliation require a connection.
Frequently asked questions
Which data and template files does DataToPDF Desktop support?
Version 1.0.0 accepts XLSX or CSV data files and DOCX or XLSX templates. The template variables should match the spreadsheet column headings used for each record.
Does DataToPDF Desktop upload my document contents?
The inspected desktop generation workflow reads data and templates locally and writes the PDFs to your selected folder. Account authentication, device registration, credit checks and usage reconciliation still communicate with DataToPDF services.
Can it create a different filename for every PDF?
Yes. You can select one or more spreadsheet columns as filename fields and arrange their order. The app combines and sanitises those values, and it avoids overwriting an existing file with the same name.
Is DataToPDF Desktop completely offline?
No. Limited offline generation can continue only after online sign-in, device registration and a signed credit-balance sync. Initial setup, credit refresh or recharge, password reset and later reconciliation require internet access.
Is Desktop always faster than the Web application?
No universal speed claim is appropriate. Desktop avoids transferring document files for generation, but actual time depends on the computer, storage, template layout, images, document length, antivirus scanning and batch size.
A simpler production workflow
Your data. Your computer. Thousands of personalised PDFs. One simple workflow.
Use an Excel to PDF desktop app when the team has reviewed data, an approved template and a recurring batch that should be generated locally. Start with a representative sample, verify the output, and then process the approved records.
